Ascent Solutions Group ("Ascent," "we," "us," or "our") provides an AI-powered after-hours telephone answering service for plumbing companies. This Privacy Policy explains what information we collect, how we use it, and the choices available to you. It applies to our website and to the answering service we provide to our business clients.
1. Who this policy covers
We handle information about two groups: (a) our business clients (the plumbing companies that enroll in our service and their designated contacts), and (b) the callers who contact a client's business line after hours and whose calls we answer on the client's behalf.
2. Information we collect
- Business client information: company name, contact name, business address, phone number(s), email address, forwarding number(s), plan selection, and billing details processed through our payment provider.
- Caller information captured on calls: caller name, callback number, service address and city, and a description of the plumbing issue, along with a summary and any urgency indicators generated from the call.
- Mobile numbers for SMS alerts: the mobile number(s) a client provides to receive call summaries and service notifications by text.
- Website information: messages you send us through the site or by email, and standard technical data (such as device and browser type) that may be logged by our hosting provider.
3. How we use information
- To answer calls on a client's behalf and deliver structured call summaries by SMS and email.
- To flag calls by urgency so clients can decide how quickly to respond.
- To maintain a call/lead log for the client's account.
- To set up, bill, support, and improve the service, and to communicate with clients about their account.
4. SMS text messaging
By enrolling and providing a mobile number, a client consents to receive automated SMS notifications (call summaries, alerts, and service notices). Consent to receive SMS is not a condition of purchasing the service. Message frequency varies with call volume, and message and data rates may apply. You can opt out at any time by replying STOP, and reply HELP for assistance. Full SMS terms are described in our SMS Terms.
5. How information is shared
We do not sell your information, and we do not share phone numbers with third parties for their own marketing. We share information only with service providers that help us operate, including:
- Twilio, Inc. — SMS messaging infrastructure used to deliver text alerts, subject to Twilio's Acceptable Use Policy and Messaging Policy.
- Our voice, automation, storage, and hosting providers — used to answer calls, route call data into a client's lead log, and host this website.
- A payment processor — used to bill client subscriptions and setup fees.
We may also disclose information where required by law or to protect our rights, users, or the public.
6. Client responsibility for caller consent
Where a client enables optional confirmation texts to its own customers (the callers), the client is responsible for ensuring those customers have appropriate notice and that the messages comply with the Telephone Consumer Protection Act (TCPA) and applicable carrier guidelines. We send customer-facing messages only when a client has explicitly enabled and authorized that feature.
7. Data retention
We retain call records, summaries, and account information for as long as needed to provide the service and for legitimate business, legal, and accounting purposes. Clients may request deletion of their account data as described below, subject to records we must keep by law.
8. Security
We use reasonable administrative and technical measures to protect the information we handle. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Children's privacy
Our service is intended for businesses and is not directed to children under 13, and we do not knowingly collect information from children.
10. Your choices and rights
Clients may review or update account information, opt out of SMS by replying STOP, and request access to or deletion of their data by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
